This notice explains what we do with the details you give us when you register for the Darshan of Sri Ganapathi Sachchidananda Swamiji on 26 August 2026 in IJmuiden.
Who is responsible
- Stichting SGS Benelux organises this event and decides how your registration details are used.
- For anything in this notice, write to info@sgsbenelux.nl.
What we collect
- Your first and last name, city and country of residence.
- Your email address, phone number and, if it differs, your WhatsApp number, or a note that you do not use WhatsApp.
- The number of adults and children in your registration.
- Whether you would like to donate or volunteer, and the areas you selected.
- The referral code of the person whose invitation link you used, and the code we generate for you so we can see which registrations came from your invitation.
- A record of the messages we send you, the text, the channel, the time and whether they were delivered, and any WhatsApp replies you send us.
- Basic technical signals used to keep the form free of spam and abuse.
Why we use it, practical messages about this Darshan
- To plan seating, prasadam and hospitality for the evening.
- To send you a confirmation, reminders before the event and a way to cancel your place. These are part of your registration and are sent to everyone who registers, whether or not you ticked the updates box.
- We send them by email and, where we have a number, by WhatsApp. If WhatsApp cannot deliver, we may fall back to SMS.
- If you reply on WhatsApp, our volunteers read and answer your message.
Why we use it, optional updates
- Only if you ticked the updates box: to tell you about future SGS Benelux events and activities, to send you an invitation you can forward, and to thank you when someone registers through your invitation.
- You can stop these at any time, see 'Your choices' below.
- To contact you about volunteering or donating, if you asked us to.
Where it is stored and who helps us
- Your registration is stored in a database hosted in the European Union.
- Brevo (EU) sends our emails and SMS messages and keeps our mailing list.
- WhatsApp messages are sent and received through WhatsApp Business, operated by Meta.
- Our organising team receives internal alerts, and answers your WhatsApp replies, through Telegram.
- Meta and Telegram process data outside the European Union; those transfers rely on the European Commission's standard contractual clauses. Each provider only processes your details to deliver these messages.
How long we keep it
- Registration details are deleted 90 days after the event.
- The message log and any WhatsApp conversation with you are deleted at the same time.
- If you opted in to updates, your contact details stay on our list until you unsubscribe.
Your choices
- You can cancel your registration at any time using the link in your confirmation email or message.
- You can stop the optional updates using the unsubscribe link in any email, or by replying STOP to a WhatsApp or SMS message. Practical messages about this Darshan continue until the event unless you cancel your registration.
- You can ask us to show, correct or delete your details by writing to info@sgsbenelux.nl.
